Position Overview
Tonari Gumi is seeking a highly organized and proactive Programs & Operations Manager to oversee program development, service delivery, and organizational operations. This role is responsible for ensuring that TG’s community programs align with its mission and strategic objectives while maintaining efficiency in daily operations.
The ideal candidate will have strong leadership skills, experience in nonprofit program management, and a passion for serving the Japanese Canadian and broader community.
Key Deliverables and Expectations
Program Development & Management
Oversee and enhance program operations, ensuring alignment with Tonari Gumi’s mission and strategic goals.
Lead program expansion efforts, particularly for TG Home Support Service
Established clear program objectives, performance metrics, and deliverables to ensure high-quality service delivery.
Develop and implement efficient administrative and operational systems to support program activities.
Manage budgets, contracts, and financial tracking for all program operations in consultation with the Executive Director and the Finance, Communications and IT Manager.
Provide overall management and leadership of the volunteer recruitment, training and retention programs in order to sustain TG’s programs and services.
Ensure compliance with grant requirements and reporting obligations, providing financial and operational data for funders.
Operations & Organizational Development
Provide leadership and oversight for program coordination teams, ensuring effective service delivery.
Collaborate with program staff to design, implement, and evaluate new and existing initiatives.
Foster partnerships with external organizations to expand services and secure additional funding opportunities.
Implement quality control measures, training and risk management strategies to maintain high service standards.
Supervise program coordinators, support staff and volunteers, ensuring accountability and efficiency.
Work closely with the Executive Director and senior leadership team on strategic planning initiatives.
Maintain up-to-date knowledge of best practices in nonprofit program management and community service models.
Internal & External Communication
Develop and implement communication strategies to promote TG’s programs internally and externally.
Coordinate with marketing and outreach teams to increase community engagement and participation.
Represent TG at public events, community meetings, and professional gatherings.
Assist with public relations efforts, including responding to media inquiries and participating in speaking engagements.
Onboarding, Training & Staff Development
Develop orientation plans and integration timelines for new hires.
Conduct training sessions for new employees and key volunteers, ensuring a smooth transition into their roles.
Support ongoing professional development opportunities for staff members, including workshops and skill-building sessions.
Qualifications & Skills
Required:
Bachelor’s degree or equivalent related experience in Social Work, Nonprofit Management, Community Development, Business Administration, or a related field.
3-5 years of experience in nonprofit program management, operations, or social services.
Strong budgeting, financial tracking, and grant compliance experience.
Knowledge of community service programs, particularly in senior care and outreach initiatives.
Experience in managing staff, volunteers, and program coordinators.
Excellent written and verbal communication skills in English (Japanese proficiency is an asset).
Strong problem-solving, organizational, and strategic planning abilities.
Preferred:
Experience working in senior services, multicultural organizations, or social work.
Familiarity with Japanese culture, language, and community dynamics.
Knowledge of fundraising, donor relations, and nonprofit financial management.
